Terms of service
These terms apply when an Australian business uses HR OK. They are designed for a business-to-business software subscription.

1. The service
HR OK provides a workplace compliance workspace, document storage, guided document preparation, monitoring, reminders and general information. The service is a decision-support tool. It is not a law firm, does not provide legal representation and does not replace advice from a qualified professional where the circumstances require it.
2. Your account
You must be authorised to act for the subscribing business, keep account access secure and provide accurate business and employee information. You are responsible for deciding who may access the workspace and for promptly removing access when it is no longer needed.
3. Subscription and trial
A valid payment method is required to begin the 14-day trial. Unless cancelled before the trial ends, the selected monthly subscription begins automatically. Pricing is based on active employee records and is shown before checkout. Fees are in Australian dollars and taxes are handled as shown on the invoice.
4. Your responsibilities
You remain responsible for employment decisions, confirming the facts entered, reviewing documents before issue, paying correct entitlements and complying with laws, awards and registered agreements that apply to the business. Do not rely on HR OK where facts are disputed, litigation is threatened, dismissal or redundancy is high risk, or professional advice is reasonably required.
5. Acceptable use
You must not use the service unlawfully, attempt to defeat security controls, upload malicious material, misuse another person’s information or use generated content without checking it against the actual workplace circumstances.
6. Data and service providers
You retain ownership of business content you upload. You authorise HR OK and its contracted providers to process it only to operate, secure and improve the service. Our Privacy Policy explains how personal information is handled.
7. Availability and changes
We aim to provide a reliable service and current monitoring but cannot promise uninterrupted access or that every legal change will be detected immediately. We may improve or change features, and will give reasonable notice of a material reduction to paid functionality.
8. Liability
Nothing excludes rights that cannot lawfully be excluded. To the extent permitted by law, HR OK is not liable for indirect or consequential loss. Where a remedy may lawfully be limited, our aggregate liability is limited to fees paid for the service in the preceding 12 months.
9. Ending the service
You may cancel as described in the Cancellation Policy. We may suspend access for non-payment, material breach or a security risk. On closure, you should export required business records before the stated retention period ends.
10. Contact and governing law
Questions may be sent through the support contact shown in the product. These terms are governed by the laws identified on the subscribing entity’s invoice, subject to mandatory Australian consumer and privacy laws.
